Terms & Conditions: Kirribilli Tutor
1. CEASING TUITION
Notice Period: A student may only cease tuition at the end of a school term.
Two (2) weeks’ notice must be provided in writing to Kirribilli Tutor before the conclusion of the current school term.
Full Term Commitment: Payment is required for a full term of lessons. Kirribilli Tutor does not offer pro-rata refunds for early withdrawal during a term.
2. LESSON CANCELLATIONS & MAKE-UP POLICY
Eligibility: Only missed private lessons are eligible for make-up sessions. Group or shared lessons are not eligible for make-up sessions if a student is absent.
Notice Required: To be eligible for a make-up lesson, at least 24 hours’ notice must be provided.
Late Cancellations: If a student misses a lesson without 24 hours’ notice, the lesson is forfeited, and no make-up or credit will be issued. Special circumstances may be considered at the sole discretion of management.
Make-up Validity: * Valid for the current term and the following school term only.
All make-up lessons must be completed by the end of Term 4 and do not carry over to the following school year.
It is the student/parent’s responsibility to arrange a make-up time; Kirribilli Tutor will not send reminders for outstanding make-up lessons.
Tutor Cancellations: If a tutor is unavailable, Kirribilli Tutor will provide a substitute tutor where possible. If a lesson is cancelled by us and a make-up cannot be arranged within two terms, a credit will be applied to the next invoice.
3. FEES AND PAYMENTS
Invoicing: Tuition fees are billed for a full school term. Invoices are emailed at the beginning of each term.
Due Date: Payments must be received by the date specified on the invoice.
Late Fees: Late payments will incur a $35 administration fee, and lessons may be suspended until the balance is cleared.
Persistent Arrears: Continued late payments will result in the student being moved to a "Prepayment Only" system.
Payment Methods: We accept Direct Transfer and Credit Card. Please use your Invoice Number and Student Name as the payment reference for bank transfers.
4. SUPERVISION & SAFETY
Duty of Care: Kirribilli Tutor provides supervision only during the allocated lesson time.
Drop-off/Pick-up: We do not accept responsibility for students who arrive early or remain on-site after their scheduled session. Students must be collected promptly at the conclusion of their lesson.
Facility Use: Use of shared facilities is restricted to authorized staff and students during scheduled session times only.
5. TUTORS & STAFFING
Vetting: All tutors at Kirribilli Tutor have undergone a selection process, including mandatory Working with Children Checks (WWCC) as per NSW legislation.
Consistency: While we aim to provide a consistent tutor for every student, we reserve the right to change or substitute a tutor at short notice due to illness, resignation, or operational requirements.
6. LIMITATION OF LIABILITY
Activity Risk: Participation in tutoring sessions is at the student's own risk. Kirribilli Tutor is not liable for any personal injury arising from participation in sessions, games, or activities, except where such liability cannot be excluded under Australian Consumer Law.
Personal Property: Kirribilli Tutor is not responsible for the loss or damage of any personal belongings brought to the premises. We do have a Lost and Found Property box at the reception area where any items found will be kept for the term and cleared before the next term commence.
7. PRIVACY
Confidentiality: All personal information collected remains private and will only be used for administrative and educational purposes by Kirribilli Tutor staff. Information will not be disclosed to third parties without consent, except where required by law.
8. ACCEPTANCE OF TERMS
Enrolment in tuition with Kirribilli Tutor is conditional upon the acceptance of these Terms and Conditions. By submitting an enrolment form, attending a scheduled lesson, or making a payment toward a tuition invoice, the student (and their parent/guardian where the student is under 18) agrees to be bound by all terms, policies, and conditions outlined in this document.
